We all have 24 hours a day, no more, no less. Some says, “I can not attend to that, I had a prior engagement already.” Oh! no I forgot to pay, my line is disconnected. I was so busy that it gone out of my head.” Have you ever wondered how other people managed their time? Well, on this article, I will sight how to manage time effectively to keep a life balance with family and work.
Time management
No matter how the scheduled tasks are being followed, there are circumstances that can not be avoided. Now, let us break down how to manage time effectively:
1. Make a calendar of activities
At year-end, start to make your calendar of activities for the incoming year. You may integrate what goals you want to achieve for the year. From there, layout your plan on how to break the project including its timeline.
1.1 Annual
Start marking all important dates of your love ones from birthdays, wedding and death anniversaries, as well as, any other special occasions. Next, mark the dates of your business activities, say conventions, seminars, travels, meetings (if specific date is already available). Furthermore, plot the deadline of your goals.
1.2 Month
For the monthly schedule, enter the deadline of business monthly reports, bills due date, mortgage, renewal date of insurance, memberships and etc. That includes the household bills, of course you don’t want your electricity to be disconnected. So, it is essential that all office and household due dates must be listed down.
1.3 Week
You must check your calendar for availability every time an appointment is asked for an office meetings or an event invitations. Sometimes your children may ask you to accompany them to school activities, or simply go out for a family outing. More so, your friends and or colleagues shall invite your for a lunch or dinner.
Mine, I usually do my incoming week planning a day before, or on a Sunday.
1.4 Day
Now for the Day Calendar, this is where you have to breakdown all your tasks, including the starting and ending time of the tasks. In this way, you are guided each time on what to do.
Difficulty comes when there is a lot of things to do and you can not decide what comes first. But don’t be confused, if you could not decide right away, ask yourself, what is the most urgent and important task?
2. Block important dates
Remember to block those important dates, you don’t want to miss those events, I’m sure! You don’t want to lose clients because of simple reason you forgot the important boardroom presentation. Either way, you don’t want your spouse gets hurt because you forgot to send her flowers on wedding anniversary.
3. Set a reminder
Though you have blocked the important dates already but your hectic schedule makes you forget. A reminder tool is really a big help on this. One simple solution is to sync your schedule on your phone, laptop or any device, then set the reminder by day or an hour. On this way, any bill disconnection notice is avoided and any important appointment is not missed.
4. Be on time
If your day starts at 6am, everyday you must wake up before that hour so that the tasks that lined up shall not be hampered. If you miss your time, it creates a domino effect and ends up with unfinished task to forward to other day or time. The result, you will have again to fix your schedule, another time consuming on your part.
5. Make necessary adjustments
The schedules and appointments are not perfect, there are times that this will be moved to another time due to unavoidable circumstances. But do not fret, just look and review again your calendar and re-schedule to the best available date you can find.
Consistent repetition
Each year, do your calendar of activities repeatedly and consistently. Try to inject some adjustments every now and then to accommodate important tasks and any unavoidable situation.
How to deal procrastination
Be watchful of your calendar, always refer to it. Before the day ends, you must check what are lined-up tasks for the next day. There are times that we don’t feel at our best, hence, we tend to procrastinate. However, you are the master of your tasks, you can do whatever you want as long as it does not fall on due date, deadline of project or report submission and any important event to attend to. You can tweak your schedule if you want to, everything is in your hands as long as you don’t miss anything that is very urgent and important.
